■ STEP 1 — Ask for Customer’s Schedule
“What are the best days and times for the appointment?”
We always try our best to accommodate their schedule, so gather their preferred days/times first.
 

      STEP 2 — Check Our Availability
Review our openings to see if they match the customer’s request.
If not, contact the groomer/manager immediately to make special arrangements.

       STEP 3 — Booking Rules      
       Existing Customers:
You may go ahead and book once availability matches.          New Customers:
       
•       NCA must be approved by the groomer.         
       •       Deposit must be completed before anything is officially booked.

■■ IMPORTANT — When Texting Openings to New Customers
Whenever you text openings to a new customer, always send this disclosure right after the openings,
so they understand nothing is reserved yet:

Just a heads up       These openings are only for reference at the moment. For new customers, we still need to complete a few steps first (NCA approval + deposit).
No appointments have been booked yet.

Special Openings

🕒 Marin South & Novato Applies to customers located in: Marin South or Novato — areas near our standard service zones. 🔍 Finding Sooner Appointments When a customer requests an earlier appointment than what’s shown on the calendar: 1. Look for any day with no more than 4 full-service pets scheduled. 2. Create additional opening without exceeding the 5-pet daily limit. 📆 Offering the Appointment * Offer the available day with an ETA window between 8:00 AM – 5:00 PM. * The customer must agree to be available all day. * We will call 30–60 minutes before arrival as a courtesy, but no exact time is guaranteed.

🔄 Other Cities For customers in: Petaluma, Rohnert Park, Sebastopol, Oakmont, Windsor, Healdsburg. This rule also includes Santa Rosa in the search, but not as the target of the swap. 🔍 When to Use This Rule: A customer from one of the listed cities wants a sooner appointment than what’s shown on the calendar. (eg. A customer from Petaluma wants sooner) 🧭 Step-by-Step Process 1. Search for Earliest Availability * Start checking from the day after tomorrow. * Look across all listed cities + Santa Rosa. * Find the soonest day with exactly two available appointments in the same city (e.g., two open spots in Rohnert Park). 2. Book & Swap * Book one of the two openings for the customer requesting the sooner appointment. * Change the other opening in that city (e.g., Rohnert Park) to show as available in the customer’s city (e.g., Petaluma). 3. Reassign Original Slot * Go to the original slot in the customer’s city (e.g., Petaluma) that they are not willing to wait for. * Swap that original appointment slot with the two appointments you used from the other city (e.g., Rohnert Park). * This maintains balance across the route while meeting the customer’s request. ❌ Important Restriction * If only one opening is available on that day (instead of two), skip that reassigning process. * Move to the next day with two available openings in the same city to reassign.

📍 Santa Rosa Applies when a customer is asking for a sooner opening in Santa Rosa than what is shown on the calendar. ✅ Rule Summary: You may offer an earlier Santa Rosa appointment by repurposing certain openings in nearby cities — but only if: * The opening is the first or last appointment of the day, AND * The appointment is located in one of these eligible cities: * Petaluma * Rohnert Park * Sebastopol * Windsor * Healdsburg * Oakmont 🕒 This rule applies to: * Same-day requests (Today) * Next-day requests (Tomorrow) * Any future day ⚠️ Do NOT apply this rule to: * Marin County or Novato * City of Sonoma * Napa ✅ Why this rule exists: Our mobile team starts and ends each day in Santa Rosa. If a nearby city has the first or last slot available, we may switch it for a Santa Rosa customer needing a sooner time.
